How SquadSpace collects, uses, shares, and protects your personal information.
In plain terms
We collect what we need to run the Service — account details, the media you upload, and usage data. We use AI providers to power features you invoke, and we do not sell your data. You can access, export, or delete your data at any time. We operate under the APPI (Act on the Protection of Personal Information) and honor GDPR and CCPA rights.
01Who we are
Ajay Shenoy (sole proprietorship, Japan) operates SquadSpace. We are the controller of personal data processed through the Service. Contact us at privacy@www.squadspace.co.
02What we collect
- Account & identity — name, email, and authentication data when you create an account or sign in.
- Your Content — the video, audio, images, documents, comments, and transcripts you upload or create, including any personal data they contain.
- Usage & device — log data, IP address, browser and device type, and interactions with the Service.
- Cookies — see our Cookie Policy.
- Communications — messages you send us for support.
- Guest reviewers — where a share link asks for a name or email, we collect that to attribute comments.
03How we use it
- Provide, maintain, and secure the Service.
- Process media through features you invoke, including AI captioning, review tools, and assistants.
- Communicate with you about the Service and support requests.
- Detect abuse and enforce our Acceptable Use Policy.
- Comply with legal obligations.
04Legal bases (EEA/UK)
Where GDPR applies, we rely on: contract (to provide the Service you request), legitimate interests (to secure and improve the Service), consent (for non-essential cookies and certain communications), and legal obligation.
05AI processing & third parties
When you use AI features, relevant content is sent to third-party AI providers to generate results. We describe this in our AI Disclosure, and every provider is named in our Subprocessors list. We do not use Your Content to train our own models, and we select providers that do not train on your data by default.
06Sharing
We share personal data only with: the subprocessors that power the Service; people you choose to share content with; and authorities where legally required. We do not sell your personal information.
07International transfers
The Service uses infrastructure that may process data outside your country, including Japan and other regions listed in our Subprocessors page. Where required, we rely on recognized transfer mechanisms such as Standard Contractual Clauses.
08Retention
We keep Your Content while your account is active and delete it on the normal cycle after you delete it or close your account, subject to backup rotation and any legal retention duties. Log data is kept for a limited period for security and diagnostics.
09Security
We use technical and organizational measures to protect personal data, described on our Security page. No system is perfectly secure, but we work to protect your data and to notify you of incidents where required.
10Your rights
Depending on where you live, you may have rights to access, correct, delete, port, restrict, or object to processing of your personal data, and to withdraw consent. Exercise them via our Data Rights page or by emailing privacy@www.squadspace.co. We honor rights under GDPR, the CCPA/CPRA, and the APPI (Act on the Protection of Personal Information).
11Children
The Service is not directed to children under 18, and we do not knowingly collect their data. If you believe a child has provided us data, contact us and we will delete it.
12Changes
We will post updates here with a new “Last updated” date and provide additional notice for material changes.
